Playbook · Shopify subscription renewal & upcoming charge email

Shopify subscription renewal email not sending — after Recharge, Skio, Appstle, or Shopify Subscriptions should have billed and the subscriber never got the reminder.

Written for a Shopify owner on subscriptions (Recharge, Skio, Appstle, Shopify Subscriptions, or a similar billing app), a renewal or upcoming charge should have emailed, and the subscriber never got it — so support fills with “did you charge me?” and “I never got a renewal notice” threads. This is a subscription-app notification / Flow / Klaviyo path playbook — not wholesale, not COD, not abandoned checkout, not payment pending, not gift card, not back-in-stock, and not the subscription-app-vs-ops-install comparison page. DIY tools first. Honest limits. No ticket-cut number, no recovered-revenue claim, no invented case studies.

01

Subscription renewal / upcoming charge mail, not wholesale, COD, abandoned checkout, payment pending, gift card, back-in-stock, or subscription-app-vs-ops comps.

A subscription renewal or upcoming-charge email is not a wholesale / B2B confirmation and not an unpaid cart recovery. Wholesale is wholesale order email not sending. COD is COD confirmation email not sending. Abandoned checkout is abandoned checkout email not sending. Payment pending / authorization failed is payment pending email not sending. Gift card created is gift card email not sending. Back-in-stock waitlist is back-in-stock email not sending. Choosing whether to buy a subscription app vs the Latch install is subscription app vs ops install— a comparison page, not this silence playbook. This page is the subscriber-facing path when a renewal bills or an upcoming charge / billing reminder should fire: Recharge, Skio, Appstle, Shopify Subscriptions native emails, or a Shopify Flow / Klaviyo flow watching subscription billing events.

Six ordinary reasons renewal mail never lands: no billable renewal and no upcoming-charge trigger, renewal / charge-reminder template off or Flow / Klaviyo Draft, two owners fighting over the same event, sender/spam hid a send that did fire, you tested a different email product, or you never built a path for subscription renewal. Walk them in that order. You already pay for the subscription app. You do not need a second SaaS to read its notification history.

02

No billable renewal and no upcoming-charge trigger on the subscription.

Open the subscription app (Recharge, Skio, Appstle, Shopify Subscriptions) → the customer’s subscription. Status must be active with a next billing / charge date — not paused, cancelled, dunning-only, or a one-time order you mistook for a subscription. Upcoming-charge / “renewal reminder” / “charge upcoming” emails need that date (or the app’s N-days- before trigger) to fire. A Paid one-time order, an abandoned cart, or a card Payment pending authorization is not a renewal event.

Common traps: staff pausing the subscription then expecting reminders; testing on a checkout that never created a subscription contract; a failed card that skipped straight to dunning without the “upcoming charge” template; and conflating Shopify Order confirmation on the renewal order with the app’s pre-charge reminder. Wrong event, wrong silence.

Prove it on a test you own: set a short billing interval or force an upcoming-charge / test email in the app to an inbox you control, then read the app’s notification / email log plus any Shopify Timeline on the renewal order. No renewal event means fix the subscription status / schedule first — not the template copy.

03

Recharge / Skio / Appstle / Shopify Subscriptions renewal or charge-reminder template off, or Flow / Klaviyo Draft.

Open the subscription app’s Emails / Notifications settings. Confirm Upcoming charge, Renewal reminder, Subscription charged, Payment failed / dunning (if that is the silence you care about), and related templates are enabled — not Draft, not disabled after a brand redesign. Open Shopify admin → Flow (and Klaviyo if that owns subscription mail). Find any “upcoming charge,” “subscription renewal,” or “rebill reminder” workflow. Status must be Active / Live, not Draft. Conditions that only match first orders, exclude subscription tags, or require a one-time product will silently skip every renewal.

Marketing campaigns titled “Thanks for subscribing” in Shopify Email or Klaviyo are not the transactional renewal path. Building a campaign does not fire when a specific next-billing date lands. Mixing campaign email with app notification / Flow actions is how you pay for three products and still send none on renewal. If Flow never runs on any trigger, that is the broader Shopify Flow not running playbook. This page assumes subscription billing events exist and asks why the renewal / upcoming-charge path stays quiet.

04

Two owners for the same renewal email — app + Klaviyo + Flow fighting.

Pick one owner for upcoming-charge / renewal reminder. If Recharge (or Skio / Appstle / Shopify Subscriptions) owns it, turn the duplicate Klaviyo flow and Shopify Flow Send email off for that event. If Klaviyo owns it, disable the app’s native upcoming-charge email so the customer gets one clear message — or none when both are Draft. Running both is how the subscriber gets two emails, contradictory copy, or silence after someone “cleaned up” the wrong toggle.

The subscription-app-vs-ops comparison at /subscription-app-vs-ops-install is about whether to buy another subscription SaaS vs the Latch install. This page assumes you already have a subscription app and asks why its renewal mail is quiet. Fix ownership first, then templates.

05

Sender / spam / promotions hid a send that did fire.

The subscription app log can show Upcoming charge / Renewal email sent while the subscriber swears silence. Check the From domain / SPF / DKIM the app uses (often a shared app domain or your authenticated sending domain), Gmail Promotions vs Primary, and whether the subject looks like marketing (“exclusive subscriber deal”) so filters bury a billing reminder. Force one test upcoming-charge / renewal email to an inbox you control. Search spam for the exact subject the template uses.

If the app says sent and the inbox is empty after spam checks, fix deliverability — do not buy another subscription email app to paper over a domain that already fails DMARC on order confirmation.

06

You tested wholesale, COD, abandoned checkout, payment pending, gift card, back-in-stock, or the subscription-app comps page.

A wholesale / B2B company checkout is wholesale order. Cash on delivery retail is COD confirmation. Leaving a retail cart unpaid is abandoned checkout. Leaving a card Payment pending is payment pending. Issuing a gift card is gift card. Restock waitlist is back-in-stock. Comparing subscription apps to the Latch install is subscription app vs ops install.

The only honest test for this page: an active subscription with a next billing / upcoming-charge trigger to an inbox you own, renewal / charge-reminder template Active in the subscription app (or the single Flow / Klaviyo owner Live), then app email log + inbox. Anything else is a different product.

07

When to stay DIY vs pay $997.

Stay DIY if you can spend one afternoon on the list above: renewal / upcoming-charge event exists, one owner’s template or Flow Active, sender/spam checked. Force one live test email to an inbox you own. Read the app log. That is the whole playbook. No agency required. Short answers also live on the merchant FAQ. Related troubleshooting: subscription app vs install, payment pending not sending, abandoned checkout not sending, wholesale order not sending, Shopify Flow not running.

Pay for help when the work is not the notification toggle — it is connecting the stack you already have so every renewal and upcoming charge emails the subscriber, lead capture is not dying in DMs, and checkout-ready ops paths are one live workflow instead of a draft Flow plus a Recharge template you forgot. That is the Latch AI Ops install.

What $997 USD one-time buys: lead capture on the live store, ops alerts in a channel you already check, and a checkout-ready workflow. 72 hours after collaborator access, not after payment. One live Shopify store. Access plus a delivery thread. Store URL collected at checkout. Not a SaaS seat, not a Recharge / Skio / Appstle rebuild, not a Klaviyo rebuild, not a Gorgias implementation, not a support VA, not a brand or theme job.

Other shops’ public ranges, not testimonials: a Shopify Flow or notification-path install typically runs $500–$2,500. A full ops / subscription-email consulting block typically runs $2,000–$5,000. $997 is the cheap end of that work, sold as a 72-hour install of three systems — not as a ticket-cut number or recovered subscription LTV.

What it does not buy: fewer subscription tickets, recovered revenue from renewal-reminder trust, a lift in retention, or a case study. Latch AI Ops has not published customer proof because there are no customers yet. You are buying the install.
