Prove POS role vs admin staff permissions vs location vs PIN user.
Open Point of Sale → Staff (or Settings → Users and permissions with POS access). Capture: staff name, POS role (Cashier / Associate / Manager / custom), location(s) assigned, PIN vs email login on the device, and the permission checkboxes for Process refunds, Apply discounts / custom discounts, Open cash drawer / No sale, View reports, and Manager override.
Split the surfaces. Inventory counts wrong after a POS sale → POS inventory not syncing. Staff never received the admin invite email → staff invite email not sending. Customer cannot log into the storefront with Multipass → customer accounts login broken. Greyed refund / discount / cash drawer on POS with a permission or manager-approval prompt → this page.
Confirm the device location. A staff user assigned only to Location A will look “permission-denied” on Location B even when the role template allows refunds. Confirm they are not signed in under a shared cashier PIN that belongs to a more restricted role.

Fix role permissions, location assignment, PIN, manager override, Pro gates.
Edit the POS role template so cashiers who should refund, discount, or open the drawer have those permissions checked. If policy requires approval, enable manager override instead of leaving the control permanently greyed. Assign the staff member to the retail location they work. Confirm POS Pro (or the plan that unlocks the staff-permission feature you need) is active — some role granularity is Pro-gated.
Re-issue or reset the PIN when devices share logins or a former employee PIN is still selected. Have the cashier log out and back in after role changes. Owner/manager test on the same device first to prove hardware (cash drawer cable / printer driver) is not the blocker; then retest as the cashier role.
Retest: cashier PIN → apply a known discount → process a test refund (or manager-approved refund) → open cash drawer / no-sale — each action succeeds or correctly prompts manager override, not a hard permission deny.

- Staff user is assigned to the location of the device they use.
- Device is signed in with that staff PIN (not a more restricted shared PIN).
- Manager override is configured where policy requires approval instead of a permanent deny.
- POS Pro / plan gates for staff roles are active when the feature requires Pro.
- Retest: discount → refund (or override) → cash drawer on the same device as the cashier.
