One channel, two jobs.

Open Shopify Inbox. Open the store Gmail. Same threads, often the same address: a paid order asking for tracking, a cart that never finished asking if a discount stuck, a shopper who wants you to “hold” inventory in chat. The channel never drains because two different jobs share one queue.

That is not a missing helpdesk seat. It is a routing and wiring problem. Status mail and checkout mail should answer most of those asks before a human pastes the same URL again.

This page will not promise how many tickets you “should” cut, how much revenue a cleaner inbox “should” recover, or that a chat app will print money. It is operator notes for draining the flood.

This is not the repetitive-support loop.

The repetitive-support playbook assumes shipping and order mail already exist (Klaviyo or Shopify Email) and the same order-status question still loops after that mail fired. That page is the post-mail status gap.

Split WISMO from checkout asks.

WISMO: paid order, wants tracking or an ETA. First check native shipping confirmation and the order status page — see the WISMO playbook and WISMO email not sending. If mail never left, the inbox is rational.

Checkout questions: discount did not apply, shipping quote looked wrong, cart abandoned and they wrote instead of waiting for recovery mail. That is the abandoned-checkout playbook and abandoned checkout email not sending— not a new Gorgias macro farm.

Tag or label threads by job for one week. If half the volume is checkout friction and half is status, buying another WISMO chat widget will not drain the checkout half.

Keep one primary inbox.

Shopify Inbox, the store Gmail, and Gorgias on the same customer address is three places to miss the same thread. Pick one primary for human replies. Forward or close the others so you are not starring the same ask twice.

If Shopify Inbox is the public face, answer there and stop also answering from Gmail “because it is open.” If Gmail is the real ops desk, turn Inbox notifications down so you are not double-notified into ignoring both.

Overlap between Klaviyo and Shopify notifications is a different wiring problem — Klaviyo + Shopify notifications. Fix the human channel first so DIY replies have one home.

Two honest saved replies.

WISMO — look the order up first. Paste tracking or say it has not shipped. Do not invent a delivery date.

Thanks for writing — I pulled order {#1234}. Tracking is here: {URL}. Carriers often need 1–2 business days for the first scan. If nothing moves after that, reply to this thread and I will dig in. I will not guess a delivery day.

Checkout — look the cart or discount up first. Point them at the live checkout or the recovery mail you already send. Do not promise a custom hold you cannot keep.

Thanks for writing — for the cart / code question, the live checkout is here: {checkout or product URL}. If a discount should apply, the code is {CODE} (or it is already automatic at checkout). I cannot hold inventory in this inbox; complete checkout when you are ready and reply if something still looks wrong on the order confirmation.

True exceptions — safety, wholesale, chargebacks — stay human. The default WISMO and default checkout ask should not require a new app seat.

What not to do.

  • Do not treat Shopify Inbox and Gmail as two separate teams for the same address.
  • Do not buy a WISMO chat widget to paper over checkout questions that belong in abandoned-checkout mail.
  • Do not invent ETAs or custom discount exceptions in chat that the live store cannot honor.
  • Do not open a second helpdesk “for overflow” before one primary inbox and two saved replies exist.
  • Do not claim a ticket-cut percent or recovered-revenue number from cleaning the channel. This page will not either.
  • Do not confuse this mixed flood with the post-mail status loop alone — that is repetitive support.
