The same question, after the emails already exist.
You already pay for Klaviyo or Shopify Email. Order confirmation fires. Shipping confirmation is supposed to fire. The customer still writes: “where is my order?” Same wording, different order numbers, every afternoon. It lands in the store Gmail, in Gorgias, or in Shopify Inbox — often in more than one.
That is not a new kind of ticket. It is a WISMO loop. The mail you already send did not close the status gap, so the owner is still the night-shift helpdesk. This page is for that loop. It is not a promise the loop will vanish.

Why Klaviyo or Shopify Email did not stop it.
Marketing email and transactional email are different jobs. Klaviyo is good at “you left checkout” and “here is 10%.” Shopify’s customer notifications are the receipt and the tracking link. When those two systems both speak, or one of them is silent, the customer does not trust either and writes the store.
The usual failures, after you already have the tools:
- Shipping confirmation still says “we’ll send tracking soon,” or the tracking URL 404s on a phone.
- A Klaviyo “your order is on the way” fired on Placed Order, not on a real fulfillment. The tracker still says label created. They write.
- Two emails disagree — Shopify said shipped, Klaviyo said preparing — so inbox is the tie-breaker.
- Fulfillment lives in a 3PL that does not write tracking back to Shopify on time. The order status page is blank. Emailing you is rational.

Inbox, Gorgias, or Shopify Inbox — pick one.
Repetitive WISMO is worse when the same question lands in three places. Shopify Inbox on the storefront, Gorgias on the support address, Gmail because the theme still lists hello@. You answer it twice. Or you miss it in the one you did not check after close.
Pick one inbox for order-status mail. Put that address on the contact page, in the shipping email, and in the order confirmation. Turn the other two off for that job, or forward them into the one you actually open.
Gorgias is the right buy when ticket volume is a full-time job. It is the wrong buy when the work is still “open the order, copy tracking, paste a template.” Dedicated Gorgias implementation shops start around $3,750. A support VA on top of that is $500–$800 a month. Neither replaces a tracking link that works.
Keep Shopify Inbox if that is already where chat lands. Do not add Gorgias “for support” until the first inbox has a playbook and the shipping email tells the truth.

Read the email they already got.
Before you write another macro, fulfill a $1 test order to yourself. Open the shipping confirmation and the order status page on a phone that is not logged into admin. Click the tracking link. That is what the customer saw when they decided to email you.
The email should do four jobs, nothing fancy: say it shipped with the order number, include a tracking URL that opens, repeat the transit window you sold at checkout, and say the first carrier scan can lag 24–48 hours. If any of those is missing, the inbox loop is the email — not the customer.
Also check whether a second Klaviyo “on the way” is sitting on top of Shopify’s shipping confirmation. Two “your order is on the way” notes that disagree is how a customer who is already tracking still writes.

One honest saved reply.
Save this somewhere you can paste. Rewrite the brackets. Look the order up in Shopify before you send it. Do not invent a delivery day the carrier has not given you.
Hi {name} — order {#1001} shipped on{date} with {carrier}. Tracking: {url}. If the first scan is not there yet, that can take 24–48 hours after the label is created. If it is past {the window you sold at checkout} with no movement, reply to this email and I will open a tracer with the carrier. I will not guess a new delivery date.
Most of these threads die after the URL. The ones that do not are exceptions — those deserve a person, not a second macro that pretends the box is on a truck.
If fulfillment never happened, do not send the shipping template. Say it has not shipped, say why if you know (stock, fraud hold, weekend cutoff), and say the next honest time they should expect a shipping email.

Repeats vs exceptions.
A repeat is “where is my order?” when tracking exists and they did not open it, or the first scan is still inside the window you already told them. An exception is an unfulfilled order, a failed fulfillment, a 3PL that never wrote tracking back, or a carrier that has not moved past the window you sold.
Repeats get the saved reply. Exceptions get a person and an alert you should have seen before they wrote. Shopify Flow (on plans that include it) can post to a channel you already check when an order is still unfulfilled after N hours, or a fulfillment fails. If Flow is not on your plan, a daily 10-minute Unfulfilled filter beats a helpdesk seat.

What not to do.
- Do not stand up Gorgias, Shopify Inbox, and a shared Gmail on the same address. Pick one inbox.
- Do not hire a VA to answer the loop before tracking and alerts exist. You will pay someone to hunt the same order you should have notified.
- Do not send a Klaviyo “on the way” that is not tied to an actual fulfillment. That email creates the next WISMO.
- Do not paste tracking from a 3PL portal that Shopify does not have. The next email will ask why the status page is blank.
- Do not invent a delivery date to make the thread die. It comes back angrier.
- Do not claim a percent of tickets will disappear. This page will not either.
