Playbook · Shopify local pickup ready / pickup available customer mail

Shopify local pickup ready email not sending — after the order is already waiting at the counter.

Written for a Shopify DTC + retail owner whose buyer chose Local pickup, the team marked the order Ready for pickup — and the customer email that says “your order is ready” never arrives. This is a native-notifications and Shopify Flow playbook for Ready for pickup / pickup available / local pickup ready mail — not POS receipt, not fulfillment hold, not WISMO, not payment pending, not draft order invoice, not gift card, not refund / cancel, not return request, and not abandoned checkout. Native tools first. Honest limits. No ticket-cut number, no recovered-revenue claim, no invented case studies.

01

Local pickup ready mail, not POS receipt, shipping, WISMO, or fulfillment hold.

A Ready for pickup / pickup available email is not a POS receipt and not a shipping confirmation. POS / retail receipt mail fires after a till sale — that playbook is POS receipt email not sending. Shipping confirmation fires when a shipment is fulfilled with a carrier — see shipping confirmation email not sending. Fulfillment hold / order on hold is a delay notice — fulfillment hold email not sending. WISMO is where-is-my-order after tracking should exist — WISMO email not sending. This page is the buyer-facing “your local pickup order is ready at the store” path: native Notifications for Ready for pickup / local pickup ready, and/or a Shopify Flow that sends when staff marks the order ready.

Also not this page: payment pending, draft order invoice, gift card, refund / cancel, return request / label, abandoned checkout. Six ordinary reasons pickup-ready mail never lands: the order was never local pickup or never marked ready, the template or Flow send is off, Notify customer was unchecked, Flow never matched, you tested the wrong email, or sender / spam hid a send that did fire. Walk them in that order. You already pay for Shopify. You do not need a second pickup app to read the notification list.

02

Order was not local pickup — or never marked Ready for pickup.

Pickup-ready email needs a local pickup order that actually reached Ready for pickup. Open the order → Delivery method / Shipping method. If it says Shipping / Standard / Express, you are on the shipping confirmation path, not this one. If it says Local pickup / Pickup in store but Fulfillment status is still Unfulfilled with no “Ready for pickup” event, staff never marked it ready — Shopify has nothing to notify about.

Common traps: someone fulfilled as a shipment by mistake (creates a shipping confirmation, not pickup ready), someone marked Fulfilled without using Prepare for pickup / Ready for pickup on the pickup workflow, or the location’s pickup settings were never enabled so checkout never offered Local pickup and the “pickup” order was actually shipping. Wrong fulfillment action, wrong email.

Also confirm the customer email is on the order. A guest pickup with a blank contact has nowhere to send Ready for pickup mail — that is the same destination problem as other notification playbooks, not a reason to buy a pickup app.

03

Ready for pickup / local pickup ready template or Flow send is off.

Open Settings → Notifications → Customer notifications. Look for Ready for pickup, Local pickup ready, Pickup available, or similar wording (varies by Shopify plan and local pickup version). Read the on/off state — not Order confirmation, not Shipping confirmation, not POS receipt, not a preview. Disabled does not send. A staffer who turned pickup mail off “because we call customers” leaves a hole that looks like Shopify is broken when a buyer asks why nothing arrived.

Order confirmation and Shipping confirmation can be on and Ready for pickup still off. POS receipt, fulfillment hold, and WISMO templates are different events again. Do not debug this page on those toggles.

If you replaced native mail with a Shopify Flow “Send email” when Order ready for pickup, the native template may be intentionally off — then the bug is that Flow’s run history, not Settings → Notifications. Name which product you intended before you flip the wrong switch. Flow that never runs at all is also Shopify Flow not running.

04

Notify customer was unchecked when marking ready.

The template can be on and still not send. Marking an order Ready for pickup / Prepare for pickup often includes Notify customer. Unchecked means no email, even with a live template and a real customer email on the order. Ops who batch-mark twenty pickups at open with notify off create silent ready orders all morning.

This is the retail trap. Someone marks Ready without notify, texts the buyer on WhatsApp once, then never notices until a customer shows up angry that “Shopify never emailed me.” A saved admin preference that remembers the last notify dialog state will keep email off. Calling the customer is not the same as the Ready for pickup template firing.

For the next test: take one real local pickup order (or a test order with Local pickup), mark Ready for pickup with Notify customer on, wait a minute, then read that inbox — not the order timeline alone. The timeline can show “Ready for pickup” without “Ready for pickup email sent to…”.

05

Shopify Flow ready-for-pickup workflow never matched.

If pickup-ready mail is supposed to come from Flow, open Flow → the workflow → Run history. A draft workflow never sends. A live workflow with zero runs on the order you just marked ready never matched: wrong trigger (Order fulfilled vs Order ready for pickup), location filter that excludes this store, tag filter that the order never received, or a condition that required Shipping when the order is Local pickup.

Native Ready for pickup can be off because you “moved” to Flow — then a broken Flow condition means silence. Or both are on and the customer gets two emails next time. Pick one owner for the ready event. Do not install a third pickup-SMS app to “make sure it fires” while Flow and native fight.

If Flow never runs on any trigger, leave this page and use Shopify Flow not running. If Flow runs but the Send email action failed, read the action error — wrong recipient variable and missing customer email look like “not sending” from the buyer’s seat.

06

You tested POS receipt, shipping confirmation, WISMO, or fulfillment hold.

Ringing a POS sale proves POS receipt, not Ready for pickup. Fulfilling a shipping order with a tracking number proves Shipping confirmation. Putting an order on hold proves fulfillment-hold mail. Asking “where is my order” after a shipment proves WISMO. Preview in the notification editor and Send test email prove the template renders. They do not prove a live Local pickup order marked Ready for pickup fires the ready email.

Honest test: place (or use) one order with Local pickup as the delivery method, customer email you own that is not the store’s staff address, mark Ready for pickup with Notify customer on, wait. Then search that inbox and spam for the store name. If Shipping confirmation arrived from a shipping test and Ready for pickup did not from a pickup test, the bug is pickup email / template / notify box / Flow — not “Shopify email is down.”

Related wrong-event pages: POS receipt, shipping confirmation, fulfillment hold, WISMO, order confirmation.

07

Sender, BCC, and spam hid the send.

Shopify can send and the customer still reports nothing. Open Settings → Notifications and read the sender email. A custom from-address without authenticated DNS (SPF / DKIM for the domain Shopify tells you to add) lands in spam, or is dropped. A shared @shopifyemail.com from-address also gets filtered on some inboxes. BCC to the owner is not proof the customer got it — BCC can arrive while the To: line bounced.

On the order timeline, look for a Ready for pickup / notification sent event, not just “Ready for pickup.” If Shopify says it sent, have the customer search spam, promotions, and the exact from-address. If Shopify does not say it sent, go back to delivery method / marked ready / template / Notify customer / Flow — do not buy a deliverability app for a mail that never left.

Do not install a second pickup / SMS app to “make sure it fires.” You will double-message the next customer who was never the bug. Shopify Email (marketing campaigns) and Klaviyo “pickup ready” flows are also not this native Ready for pickup template — mixing them is how you pay for two products and still send none, or send three.

When to stay DIY vs pay $997.

Stay DIY if you can spend one afternoon on the list above: local pickup order marked Ready for pickup, template or Flow send on, Notify customer checked, Flow matched if you use Flow, sender/spam. Force one live pickup-ready mark from an order you control. Read the inbox. That is the whole playbook. No agency required. Short answers also live on the merchant FAQ. Related troubleshooting: POS receipt not sending, shipping confirmation not sending, fulfillment hold email not sending, WISMO email not sending, payment pending not sending, Shopify Flow not running.

Pay for help when the work is not the notification toggle — it is connecting the stack you already have so Ready for pickup mail is one live path instead of a native template plus a Flow send plus a Klaviyo “pickup” flow you forgot, lead capture is not dying in DMs, and exceptions show up in a channel you already check. That is the Latch AI Ops install.

What $997 USD one-time buys: lead capture on the live store, ops alerts in a channel you already check, and a checkout-ready workflow. 72 hours after collaborator access, not after payment. One live Shopify store. Access plus a delivery thread. Store URL collected at checkout. Not a SaaS seat, not a notification rebuild, not a Klaviyo rebuild, not a Gorgias implementation, not a support VA, not a brand or theme job.

Other shops’ public ranges, not testimonials: a Shopify Flow or recovery-app install typically runs $500–$2,500. A Klaviyo-only rebuild typically runs $2,000–$5,000. $997 is the cheap end of that work, sold as a 72-hour install of three systems — not as a ticket-cut number or recovered checkout revenue.

What it does not buy: fewer WISMO tickets, recovered checkout revenue, a lift in conversion, or a case study. Latch AI Ops has not published customer proof because there are no customers yet. You are buying the install.

Checkout is on Whop. Operator is Nico. United States offer. You can revoke collaborator access after handoff. We do not take owner passwords.
