Playbook · Native draft order invoice

Shopify draft order invoice email not sending — the customer never got the pay link.

Written for a Shopify DTC owner who already uses native Shopify notifications, created a draft order (wholesale, phone order, custom quote), expected the invoice email with a pay link, and the buyer still has nothing. This is a native-notifications playbook for Draft order invoice — not Order confirmation after a paid checkout, and not refund or cancel mail. Native tools first. Honest limits. No ticket-cut number, no recovered-revenue claim, no invented case studies.

01

Draft invoice, not order confirmation, not refund.

Three products can look like “Shopify emailed the customer about money.” They do not share a toggle or a send log. Native draft order invoice lives in Shopify admin: Settings → Notifications → Customer notifications → Draft order invoice. It fires when a staffer clicks Send invoice on a draft order that still needs payment — not when a storefront checkout completes, and not when money is refunded.

Native order confirmation is a different template on the same list; that playbook is order confirmation email not sending. Native refund / order cancelled mail is refund email not sending. Klaviyo “invoice” or “payment request” flows live in a Klaviyo send log — if that is what is missing, that is Klaviyo flow not sending, not this page. This page is only native Shopify Draft order invoice: the email with the pay link Shopify sends from a draft.

Six ordinary reasons that template never lands: it is still off, Send invoice was never clicked, the draft has no customer email, you tested order confirmation or Mark as paid instead, the draft was already completed / paid / converted, or sender / spam hid a send that did fire. Walk them in that order. You already pay for Shopify. You do not need a quoting app to read the notification list.

02

Draft order invoice template is off.

Open Settings → Notifications → Customer notifications. Find Draft order invoice. Read the on/off state, not the subject line, not a preview, not Order confirmation next to it. Disabled does not send. A staffer who turned native mail off “so Klaviyo can own invoices” and then never published the Klaviyo flow leaves a hole that looks like Shopify is broken.

Order confirmation, Payment reminder, Order edited, and Payment receipt are different templates. They fire on paid checkouts or later events — not on “Send invoice” from a draft. A buyer who never got the draft pay link is missing Draft order invoice even if they later get order confirmation after they pay.

Turn Draft order invoice on only if native Shopify is supposed to send it. If an external quoting or B2B tool is supposed to send the pay link instead, leave this template off on purpose and go fix that tool. Do not leave both off. Do not leave both on unless you want two emails for one quote.

03

Send invoice was never clicked.

Creating a draft order does not email the customer. Saving the draft does not email the customer. Completing the draft into an order, Mark as paid, and Collect payment can create an order without ever sending Draft order invoice. The invoice email is a deliberate action: open the draft → Send invoice (or equivalent) → confirm the destination.

Open the draft timeline. Look for an invoice-sent event, not just draft created. If staff converted the draft on a phone call and never clicked Send invoice, Shopify did exactly what it was told — nothing to send. Wholesale and phone-order teams hit this constantly.

Payment links in chat or a PDF quote you attached by hand are not this template. If the customer was supposed to get the native Shopify invoice email and the timeline is silent, the bug is “Send invoice never ran,” not “Shopify email is down.”

04

No customer email on the draft.

Native draft order invoice sends to the customer email on the draft. Open the draft. If Contact information has no email, Shopify has nowhere to send. Phone-only wholesale contacts, a staffer who typed the store’s own address, or a placeholder like test@example.com will all look like “Shopify is not sending.”

A staff email on the draft is not the customer. BCC to the owner is not proof the customer got it. The draft timeline can show the draft created without “Draft order invoice email sent to…”. Read that timeline event, not the line items.

If Shopify did send and the address is wrong, correct the email on the draft and Send invoice again. Resend does not fix a template that is off, and it does not invent a send that was never clicked.

05

You tested order confirmation, not a draft invoice.

Preview in the notification editor and Send test email prove the template renders. They do not prove Send invoice fires it. A paid storefront checkout proves order confirmation — see /order-confirmation-email-not-sending— not Draft order invoice. Mark as paid on a draft can skip the invoice email entirely and jump to a paid order path.

Honest test: create a draft with a real inbox you own that is not the store’s staff address. Click Send invoice. Wait a minute. Then search that inbox and spam for the store name. Open the draft timeline and look for the invoice-sent event. If the timeline is silent, the bug is template / Send invoice / missing email — not “Shopify email is down.”

Shopify Flow “send internal email” is staff mail. It is not this template. If what you built is a Flow workflow that never runs, that is Shopify Flow not running, not a draft-invoice bug.

06

Draft already completed, paid, or converted.

Once a draft is completed into an order — customer paid the invoice, staff marked as paid, or Convert to order ran — you are no longer debugging Draft order invoice. The open invoice is gone. Further customer mail is order confirmation, payment receipt, or shipping confirmation, depending on what happened next.

B2B, wholesale, marketplace, and some quoting apps create orders that never took a draft-invoice path. Those often skip or replace native Draft order invoice. Do not install a second invoice app until you can name whether the silent record is still an open draft or already an order.

Abandoned checkout is earlier and different — the customer left a storefront checkout, not a staff draft. That mail is abandoned checkout email not sending. Do not debug draft invoices on a checkout that never became a draft.

07

Sender, BCC, and spam hid the send.

Shopify can send and the customer still reports nothing. Open Settings → Notifications and read the sender email. A custom from-address without authenticated DNS (SPF / DKIM for the domain Shopify tells you to add) lands in spam, or is dropped. A shared @shopifyemail.com from-address also gets filtered on some inboxes. BCC to the owner is not proof the customer got it — BCC can arrive while the To: line bounced.

On the draft timeline, look for an invoice-sent event, not just draft created. If Shopify says it sent, have the customer search spam, promotions, and the exact from-address. If Shopify does not say it sent, go back to template / Send invoice / customer email — do not buy a deliverability app for a mail that never left.

Do not install a second invoice-email app to “make sure it fires.” You will double-email the next customer who was never the bug. Shopify Email (marketing campaigns) is also not this template — mixing them is how you pay for two products and still send none.

When to stay DIY vs pay $997.

Stay DIY if you can spend one afternoon on the list above: template on, Send invoice clicked, customer email on the draft, real draft (not a paid checkout test), sender/spam. Send one live invoice to an inbox you own. Read the inbox. That is the whole playbook. No agency required. Short answers also live on the merchant FAQ. Related troubleshooting: order confirmation not sending (paid checkout), refund / cancel not sending, shipping confirmation not sending, Klaviyo flow not sending.

Pay for help when the work is not the notification toggle — it is connecting the stack you already have so draft invoices, order mail, and exceptions are one live path instead of a native template plus a Klaviyo draft plus a quoting app you forgot, lead capture is not dying in DMs, and exceptions show up in a channel you already check. That is the Latch AI Ops install.

What $997 USD one-time buys: lead capture on the live store, ops alerts in a channel you already check, and a checkout-ready workflow. 72 hours after collaborator access, not after payment. One live Shopify store. Access plus a delivery thread. Store URL collected at checkout. Not a SaaS seat, not a notification rebuild, not a Klaviyo rebuild, not a Gorgias implementation, not a support VA, not a brand or theme job.

Other shops’ public ranges, not testimonials: a Shopify Flow or recovery-app install typically runs $500–$2,500. A Klaviyo-only flow rebuild typically runs $2,000–$5,000.$997 is the cheap end of that work, sold as a 72-hour install of three systems — not as a ticket-cut number or recovered checkout revenue.

What it does not buy: fewer WISMO tickets, recovered checkout revenue, a lift in conversion, or a case study. Latch AI Ops has not published customer proof because there are no customers yet. You are buying the install.

Checkout is on Whop. Operator is Nico. United States offer. You can revoke collaborator access after handoff. We do not take owner passwords.
